Information for Entrants


The following information relates to the 2017 Awards program. The 2018 program is currently under review and information will be made available from November 2017


Submissions include an online entry form component and additional material submission which forms the content for the Exhibition of Entries. Please review the Victorian Awards Entry Handbook for details.

All online entry content, including all final project photographs must be submitted by 11.59 AEDT Friday 17 February 2017. No extensions will be provided. If your entry content is not ready by the closing date you will be asked to submit in the following year’s Awards program.

Entrants, or a nominated representative must be available to present the project to jury on Saturday 25 March 2017. The presentation may be scheduled any time between 8.30am and 7pm. Residential category entrants should also make themselves available on the evening of Friday 24 March 2017 should an additional session of presentations be required.

All projects except those of a transient nature in the Small Project Architecture category must be available for site visits during a 4 day period from 18 – 21 April. It is the responsibility of the entrant to organise the site visit and entrants will be contacted with their time and date if a site visit is requested by the Jury. Entrants must ensure that the project will be available for inspection during this time frame prior to entering the Awards.

Shortlists will be announced early May. Please note that a site visit does not mean the project will be shortlisted. Winners will be announced at the annual Presentation Dinner to which tickets will go on sale in May. 

Exhibition Submission Requirements

Every year the Victorian Chapter holds an exhibition showcasing all entries in that year’s program. As a condition of entry, entrants are required to submit additional material for this exhibition. To see photos of the 2016 exhibition, see the Awards Exhibition gallery. Submissions are due 5pm Friday 3 March

Please note in Victoria, additional material is not used for judging in any way and is purely for exhibition purposes. 

1. PHOTOGRAPHIC PANEL (Compulsory) 

  • One portrait photographic panel to include:
  • one single image, either a high resolution hero or a detail photograph with no border
  • practice logo or name in one corner. 

In order for the exhibition to be uniform, panels must be:

  • ordered and printed via Creffield Digital Print
  • supplied for print in A2 portrait format
  • Creffield Digital Print will print panels at an 85% size reduction on 2mm satin gloss recyclable card. As panels will be printed at a reduced size, please ensure the practice logo/name will still be legible when reduced.
  • clearly labelled on the back with the project name, practice name, category and photographer.
  • delivered to the Vic Chapter, Level 1, 41 Exhibition Street, Melbourne by 3 March 2017
For projects submitted in multiple categories, entrants can choose to submit a panel either per entry or per project. It is recommended however that entrants select one core category for the display panel and use the other exhibition material options below to show the other aspects of the project.

It is imperative that all submissions are printed by Creffield Digital Print in this format due to the uniform nature of the exhibition display. Boards submitted to the Chapter at the incorrect size or format will not be accepted or displayed.

ENTRANTS ARE STRONGLY ENCOURAGED TO SUBMIT AT LEAST ONE OF THE FOLLOWING OPTIONAL SUBMISSION MATERIALS:

2. 60 SECOND FILM

One short (60 second) time-lapse or walk through video of the project showing people using and interacting with the project. These videos should not be image montages, real estate style videos, interviews, or have text over them. Videos will not be played with sound. Click here to see examples of recommended film styles.

Films must comply with the following:

  • Resolution: 1920 x 1080p
  • Frame Rate: 25 frames per second (fps)
  • Format: MP4, MOV or AVI
  • Progressive/Interlaced: Progressive

3. CONCEPT SKETCHES

High resolution scan(s) of hand drawn plans, sketches or concept drawings showing your entry in its early stages of design. Scans of tracing paper or sketchbooks are suitable but must be scanned at300dpi. Please contact the Chapter if you have content that you would like to submit that you are unable to digitize.

Please note that at least one plan is required as part of your online entry submission for judging purposes. This is separate to exhibition material. See 3.2 Plans and Drawings of the Awards Entry Handbook for details.

Submit films and scanned images via Hightail. Please enter the Project Name and Practice Name in the subject line.

4. INSTAGRAM TAG

Entrants who use Instagram are to go back and comment on a photo of the project during the construction process with #VicAwardsExhibition17. Make sure you mention which project it is if you have multiple entries. Images will be collated by the Institute for display purposes.

Please note that some images may be re posted on the Vic Chapter Instagram account as part of the Vic Awards social media strategy.

Presentation to Juries

In Victoria, entrants are required to present their entry to jury at Presentation to Juries.

Presentations are to be maximum 8 minutes in duration, which are immediately proceeded by 2 minutes of question time. There will be a 5 minute buffer between presentations. It is absolutely necessary for the timetable to be strictly adhered to because the knock-on effect will disadvantage other presenters.

All entrants are to ensure that their presentations are tailored to a maximum of 8 minutes in order to provide a fair and equal opportunity to all entrants. Presentations that go over time will be cut short by the Jury.

Presenters will be provided with a presentation pointer/clicker. This allows all presenters to present standing in order to engage directly with the audience and Jury.

Entrants should bring along their presentation on a USB in PDF and PowerPoint format. Presentations do not need to be submitted in advance.

The presentation rooms at Melbourne University will contain the following equipment:

Computers: iMac with dual-boot PC/Mac operating system
Projectors: Full HD, 1920px, 16:9 ratio

The presentation equipment at 41X is as follows:

Computer: Toshiba laptop running in Windows 7, running PowerPoint 2013 & Adobe Reader
Projector: 16:9 ratio
